Our Refund Policy
Puts Students First

This policy applies to all services provided by GCQ Study Abroad, including but not limited to:

1. 1. 1. Admission consulting

      2. Application support

      3. Test preparation and training

      4. Visa assistance

      5. Pre-departure and post-arrival services

This policy is binding upon all students once a payment is initiated.

Students may be charged under the following heads:

1. 1. Commitment Fee – Mandatory engagement fee to initiate service

   2. Training/Coaching Fees – Optional add-ons for test preparation (IELTS, TOEFL, PTE, etc.)

   3. Application Fees – Payable to universities directly or via GCQ as a pass-through

   4. Visa & Documentation Support Charges – As applicable for additional services

No hidden or miscellaneous fees are charged beyond those disclosed upfront.

80% of universities in GCQ's portfolio do not charge an application fee. If any university does charge, the student must bear it either directly or via GCQ.

These fees are strictly non-refundable, as they are governed by university policies, not GCQ.

The Commitment Fee is non-refundable by default, except under the strict conditions laid out in Section 7. It covers:

1. 1. 1. Profile evaluation & counselling

      2. Program shortlisting

      3. Application documentation assistance

      4. Offer letter facilitation from GCQ’s university portfolio

      5. Loan, accommodation, and basic onshore support

⚠️ Important: Payment of the Commitment Fee does not guarantee admission into any specific university. It guarantees GCQ’s professional services and effort as per its internal processes and portfolio access.

The following are absolutely non-refundable, under all circumstances:

1. 1. 1. Training/Coaching/Exam Preparation Fees

      2. Visa Assistance or Documentation Charges

      3. Administrative Processing Fees

      4. Third-party services (exam registration, courier, credential evaluations, etc.)

      5. University Application Fees (if applicable)

      6. Government/Embassy/Legal Documentation Charges

These are non-recoverable expenditures either paid to external entities or used to deliver services already rendered.

No refunds will be granted in the following scenarios:

1. 1. 1. Student voluntarily withdraws after making payment.

      2. Student becomes non-responsive, delays submission, or fails to comply with process timelines.

      3. Student abandons the process due to personal, financial, academic, or professional reasons.

      4. Student declines an offer secured by GCQ from any university within its portfolio.

      5. Student fails to fulfill eligibility or document requirements despite GCQ’s guidance.

GCQ is not responsible for refunding fees when delays, rejections, or failures are caused by student-side factors.

7.1 Partnered Universities – Two-Way Refund Policy

A university is considered "partnered" if GCQ has an active institutional collaboration, support channel, or direct facilitation process with it. Refunds for applications to partnered universities are only granted in the following two cases:

a. No Offer Secured from Partnered Portfolio
If GCQ fails to secure any offer letter from its partnered university portfolio despite complete applications and full cooperation by the student:

✅ 100% of the Commitment Fee will be refunded.

b. Student Successfully Reaches Campus
If a student accepts the offer from a partnered university and successfully reaches the campus:

✅ 100% of the Commitment Fee will be returned, either as a refund or as credit, at GCQ’s discretion.

❗ Refunds will not be provided under any other conditions for partnered university applications.

7.2 Non-Partnered Universities – Limited Refund

For students applying to non-partnered universities (where GCQ acts only as a facilitator and not through direct university collaboration):

If no offer letter is secured despite full cooperation:

✅ 70% of the total fees paid will be refunded (this includes the Commitment Fee).

If any offer is secured, or the student withdraws or becomes inactive:

❌ No refund will be processed.

7.3 Timeline & Participation Clause

Refunds are only considered if the student:

1. 1. Submits all required documents on time

   2. Participates actively in the application process

   3. Fulfills all eligibility norms as instructed

Any student-induced delay, negligence, or non-participation disqualifies refund eligibility.

1. To request a refund:

   1. Submit the Refund Request Form via GCQ’s support portal or email.

   2. Attach all required documentation or proof of eligibility.

   3. GCQ management will review the case internally.

   GCQ reserves full discretion to approve or deny any refund.
   Refund decisions are final, non-negotiable, and cannot be contested further.

   If approved, refunds will be processed within 30 business days from the date of confirmation.

Once the student reaches the campus of a partnered university, they may initiate a refund claim for the Commitment Fee as part of the return-back policy.

❗ This applies only to GCQ’s partnered universities and subject to submission of valid proof of enrollment and travel.

1. GCQ is not liable for any refunds or damages caused by events outside its control, including:

   1. 1. War, political unrest, or sanctions

      2. Natural disasters

      3. Travel bans, embassy closures, or visa suspensions

      4. Changes in university admission policies or deadlines

      5. Pandemics or global emergencies

   These scenarios are treated as Force Majeure, and refund requests during such conditions will not be entertained.

All disputes arising from this policy are governed by the laws of India. Jurisdiction: Courts of Mysuru, Karnataka shall have exclusive authority.

By making any payment to GCQ or its representatives, the student confirms that:

1. 1. They have read, understood, and accepted this Refund Policy in full.

   2. They agree to all terms, conditions, and refund limitations stated herein.

   3. They waive the right to raise chargebacks or payment disputes outside this framework.

   4. They understand GCQ’s refund eligibility is strictly limited, and fully discretionary.

Whether you choose German public universities or opt for partner universities, our goal is to ensure you reach your destination with strong support at every step.

Here’s how your investment is protected:

🔹 If no offer letters are received, we refund 70%.
🔹 If you still want to pursue your dream abroad, we assist with partner university admission and refund an additional ₹10,000 after you reach campus 
🔹 If an offer is received from any public university, the process is considered successful and the fee becomes non-refundable.
